Candidates When you register with us as a candidate so that we can offer you job-finding services, we process your data, including but not limited to your name, contact details, and information from your CV.
When permitted by law, we may also collect data about your health (such as disability data for reasonable workplace adjustments), diversity data including race, ethnic origin, sexual orientation, and religion (to monitor equal rights application), as well as data on criminal convictions when demanded by a client, or we demand it if you apply for a position with us. When you use our website, click on links in emails we send you, open or forward them, or when you sign up to receive job alerts and other content from us, we also collect personal data from those

Potential candidates
We collect personal data about you, including your name, contact details, and professional biographical data obtained from publicly available sources such as LinkedIn, CV websites, and social media websites, so that we can contact you when we believe our job-finding services may interest you later. We may also obtain your data through another candidate or an employer recommending you as a contact person. Potential clients

We collect personal data such as your IP address and other device data necessary to provide you withour online content. We also collect data about your interaction with our website or apps, such as the pages you visit. When you contact us, we also collect information about your query/queries. Clients
We collect personal data such as your name, position, and contact details. We also process personal data about any communication we have had with you, including data indicating whether you have opened or forwarded the emails, newsletters, or other content we have sent you. We also process the feedback you provide about our candidates. If you provide us with information about a candidate (for example, if you confirm that a candidate has worked with you or if you provide a reference), we obtain your data from the candidate and keep the personal data you provide us about that candidate.
We process personal data about you from public domain sources such as LinkedIn and social networking sites or because you were a delegate at one of our events or an event where the event organizer may share delegate data with us.
Suppliers
We usually collect your name and contact details as a business contact for your organization. Korio Search B.V., acting as Data Controller in this case, is the entity that is the counterparty in the contract we conclude with you or with the company you represent.

Basis for the Processing of Your Data

(a) Contractual Necessity - to fulfil our obligations under a contract with you, for example, when
clients contract for services and candidates accepts our terms and conditions, or for potential clients
or candidates to provide certain services necessary to enter into a contract with us;
(b) Legal Obligation - when we need to process your data to comply with obligations under law or
regulations.
(c) Legitimate Interests - including:
- responding to your requests and inquiries (in this case, the legitimate interest of the
Companies is to maintain constant and updated communication with clients and candidates, which is part of any commercial relationship);
- optimizing the operation of our website and user experience.
- contacting potential clients to establish commercial relationships with clients (Page's
legitimate interest is to maintain any type of relationship with any kind of business where the contact person works).

(d) Consent - In some circumstances, we will ask for your consent to process your data. For example, when you register for a job vacancy, we offer you the opportunity to sign up for similar job alerts, or when we conduct talent trends surveys. Automated Decision Making and Profiling
We do not make decisions based solely on automated decision-making; there is always human intervention before a decision is made.
We perform two types of profiling based on a candidate's data:
- CV uploading is a tool provided on our website for candidates to upload their CVs so that we can recommend jobs that match their skills. However, this form of profiling does not exclude access to other jobs and positions.
- Intelligent searching in our client database allows us to filter CVs when we receive many applications for advertised positions and to enter relevant keywords such as years of experience or field of work. This tool then analyzes all uploaded CVs and delivers a smaller group of candidates by matching keywords to candidates' CVs and ranking candidates according to their suitability for the position. As explained above, there is always a recruiter involved in this process to verify that no automated decisions are made.

Sharing Your Data
Third Parties
If you are a candidate, we share your data with clients who have vacancies for positions that interest you. The applicable legal basis is described: the performance of the contract with clients or candidates, or to provide certain services required to enter a contract, and Korio Search B.V.'s legitimate interests in providing information about candidates and services to clients.
We also share your data and, when necessary and legally permitted, special categories of data with third-party service providers who provide services and perform tasks on our behalf, such as:
- verifying employment references.
- checking qualifications.
- conducting criminal record checks (when required);
- verifying data provided by you with third parties.
- conducting psychometric evaluations or skills tests.
- hosting personal data for us.

How Long We Retain Your Data

For example, if you are a candidate, we retain your data for the duration of our business relationship with you and thereafter, as we often support candidates through job placements for several years and potentially throughout their entire careers.
Some personal data is retained longer than others. To determine the appropriate retention period for personal data, we consider factors such as the purposes for which we process your data, including any legal, regulatory, or accounting obligations or reporting requirements, the nature and quantity of personal data we hold about you, and the potential risk of harm to you from unauthorized use of your data or unauthorized access to it.
When we process your data for direct marketing purposes, we do so until you ask us to stop, and for a short period thereafter (to enable us to comply with your request). The fact that you have asked us not to send you direct marketing or not to process your data indefinitely is also recorded; this allows us to comply with your request.
